Announcements
- Christi will come after 12 tomorrow because of her needing to collect documents for her independent contractor application
- Randy got my tickets for the UK and for Istanbul. I leave on Tuesday, April 3 and arrive in the UK the next day.
- During our March 28 meeting we'll discuss Randy's workplan and who will take on some of the tasks.
- Christi will take off April 4-6 instead of April 5-6.
- The DG Environment core grant was submitted last Wednesday and we'll be waiting for the confirmation of receipt.
AGENDA
1. Project coordinator updates
- Steven: With the Visegrad project, the main issue is the Polish partners. I'm not sure why it's taking so long. The Polish CARtoons is basically done and will be ready on Saturday. Otherwise the project is going well and we just need to keep up the momentum for The Carbusters Reader. We decide to set up a web page for the project at www.worldcarfree.net/visegrad/. The six-month report I sent to the funder last week, and I think they should be pleased with it. There will be in Krakow at the end of April or early May. We'll send the rest of the Hungarian books insured, because some were lost in the post. Kamila will find out about that. We'll do the Czech translation of the Reader by the end of April.
- Christi: Regarding fundraising, I've already said that we sent in the big DG Environment grant. Open Society won't fund the Istanbul exchange because they see it as connected to the Towards Carfree Cities conference (for some reason, but they are separated by a few days), and they don't fund conferences. Also I'm communicating with various funders about which of our projects might be good fits for them. As of Monday our appliction for the EYF Council of Europe core grant is still being processed. Christi will do the EYF final report by the end of March and add the deadline to the ICC Google Calendar. She'll do the final reports of the adminstrative grants in general, with various other people's help as needed.
- Kamila: We received the grant for EVS for Bas. I will start to work on the final reports with Anna and Joao. Now I'm working on updating the EVS database, and helping Radka will accounting, and dealing with the EVS apartment, etc. We should hear about Eduardo and Marialena in early April.
- Bas: Regarding the magazine, I'm wondering when to start moving things into layout (Pagemaker). Answer: now. Bas will get a Pagemaker lesson from Steven tomorrow or Tuesday afternoon. Also I'm looking for photos for a photo mosaic. Steven found a good cover photo and will contact the author of the magazine story where it appeared.
- Randy: I've been working on both the Istanbul conference and the Portland conference, and for now the Istanbul youth exchange. The applications for it have all come in. About half of the participants will be selected this week, and I'll extend the deadline for another month for the other countries.
2. Media and Poland Rospoda Valley
- A reporter from the Washington Post London bureau called on Friday for a story she's doing on cycling in Europe. She talked twice with Christi, who gave her various contacts and Markus wrote back to her as well.
- Regarding the road building project in Rospuda Valley, Agnieszka was interested in doing a joint press release. Christi will follow up with her and see what comes of it.
3. Magazine distribution
- Steven: I got a letter from Central Books, a distributor in the UK. It's a bit tricky to interpret the data in the sales report, but it looks like they're not receiving the amount of books that they should be. I'd like to reiterate that we need someone to really take on the responsibility for it. Kamila volunteers to get it all in order. Regarding the promotion side, we will see after. Perhaps Marialena will be able to work on it, in addition to what Rob's doing.
4. Rob's pay
- We will give him $450 per month instead of it fluctuating according to the exchange rate.
5. EC Youth Programme - Bogota letter
- We got a letter from the EC Youth programme that they were unhappy with our youth exchange in Bogota and that we should return approximately 5,000 EUR.
- We accept the decision and will propose an installment plan of four payments. We also will explain the various measures that we're taking to prevent the same situation in the future and to learn from the experience.
- In the future we will do the project according to the grant and ask for permission when we wish to propose significant changes.
- Also project coordinators must be involved in the writing of grant applications, as we've agreed already
6. Autoholics grant
- Randy will write up the money received and expenses spent so far on Autoholics. Then we will reassess how to deal with the remaining money, also in light of the Bogota debt.
