Policy manual updated
Office policies are updated: Tanja will make a draft regarding working from home and staff bi-monthly plans and weekly plans. Another talk will be made when Marco arrives next month to confirm office hour changes

Huge thanks, goodbye and welcome back anytime Sapicku! She will be missed. She has been a huge help.
Updates
Member fee drive (next week or in Jan?):
Due to a poor response from the survey, uncertainty regarding their contact information, and the busy pre-Christmas period, the drive will begin in January.
T-shirts
The order will be arriving tomorrow the 11th of December.
TCC IX
There was a SC meeting yesterday. It was proposed that the conference be separate from the AGM. The conference could be in September and AGM in June or July or October. The SC (some of whom were involved with ICC conferences in the past) would like to have a talk with the conference organisers in Brusselles.
SC meeting summary
The conference was the biggest issue. The SC approved one of the 3 new member organisations that weren't agreed upon at the 2008 AGM. They worked on the annual workplan. The project priorities surveys will be what this workplan is based on. This will be worked on more in January. The SC will write an e-mail thanking volunteers who have helped us out this year.
Cidgem's EVS situation
Cigdem is on the same page with us with regards to EVS responsibilities and we will go on with her being one of our four EVS volunteers for 2009.
Justin's Handover
He has finished his handover. He has sent his bill with the charters by mail.
WCN E-mail
Martin, Sara, Capp wish to keep their accounts. Justin's will remain open until the end of January. The others that did not reply or replied to close the account will have their accounts closed.

TCC X
We have to send out a call out for proposals for the 2010 conference.
Decision: The deadline for submissions will be the end of February 2009. We will send a call out in the next bulletin, magazine, WCN website and the big discussion list(by Tanja).
Sam's extension until the end of Jan.
Sam would be very helpful with handover to new EVS and assistance for Carbusters Issue 37
Decision: We will hire Sam full time for 2-weeks in the latter half of January
Member survey part 1 results
The deadline is on Friday
Decision: We will analyse and summarise the data next year. This will be sent to the big list once this is completed. 10 of the survey fillers will receive one copy. These winners will be announced in the next survey.

Christmas greetings to members will be done by Tanja. Jane and Chris will deal with the Christmas card for the Christmas bulletin
Holiday Sale
Decision: postponed until after Christmas
Donation practices
We occasionally get donations over 500 Euros. Now we don't have a policy on whether to make this information public or keep it private.
Decision: This is a big decision which we will discuss and decide in the first two months of 2009.
Sapi Handover
Sppi will finish her time volunteering for us in the office 11/12/08.
Decision: Jane will take over the managing of our calendar. She will forward to Tanja information about insurance for WCN staffers. She will add her new knowledge to the office how-to-guide. Jane will take over the communications regarding the new server. She will close her wcn e-mail account and her correspondence will continue at sapi [at] ecobytes.net .
Big List
It's difficult to subscribe to the big e-mail list
Decision: Theo will e-mail the regulator of the list Sara Stout to ask her to make the list open to anyone without necessity of prior approval.
